How to accept online payments for your small business

Customers now expect to pay by phone. You do not need a big setup to start. There are three common ways, from the simplest to the most complete. This is general information, not financial advice.

Step 1: Start with a UPI QR

Every UPI app can give you a QR code or a UPI ID to receive money. Print it and keep it at your counter. Make one free in a few taps with our UPI QR standee maker. Some apps also have a separate business QR. Ask your bank or app what they offer for shops.

Step 2: Send payment links for orders

If customers order by WhatsApp or Instagram, you can send a payment link. Payment gateways such as Razorpay and Cashfree let you create a link, send it to the customer and see when it is paid. The customer can then pay by UPI, card or net banking.

Step 3: Use a payment gateway on your website

If you sell on your own website, a gateway adds a checkout so people can pay on the page. To open a gateway account, you complete KYC on your own account. That usually means your PAN, address proof, bank account proof and, if you have one, a GST number. A sole proprietor or individual can often use a personal savings account. A partnership or company needs a current account in its own name. The name on your PAN and your bank account must match exactly, or the application can be rejected. Each gateway lists exactly what it needs on its own site.

Step 4: Know the costs

Gateways charge a fee on each payment, and the fee can differ by payment method. Rates change, so read the current pricing on the gateway's own website before you choose. Ask your bank or UPI app about any fee for receiving money.

Step 5: Give a bill or receipt

Give every customer a bill or a payment message. It avoids arguments and helps you keep track of your sales. You can make simple bills and quotations free with our bill maker.

Step 6: Stay safe from payment fraud

You enter your UPI PIN only to send money, never to receive it. If someone asks you to enter your PIN, scan a QR or approve a request "to get money", stop. Never share an OTP or PIN with anyone. Check that the money is in your account before you hand over the goods.

Which option is right depends on how you sell. A UPI QR is usually enough for a shop counter. Payment links and a gateway help when you sell to people who are not standing in front of you.

Questions people ask

Do I need a website to accept payments?

No. A UPI QR at your counter, or a payment link sent on WhatsApp, works without a website.

Who does the KYC for a payment gateway?

You do, on your own account. Each gateway lists what it needs. With our setup service, we guide you through it and connect the gateway to your site.

Is the money paid to FirmGenie?

No. With our setup, the gateway account is yours and payments go to your own bank account.

What should I check before choosing a gateway?

Check its fees, what documents it needs, how fast it pays out to your bank, and how good its support is. Read all of this on the gateway's own website.
